Open-Space connects to your existing gate system via its API. You own and pay for the gate hardware and software (PTI, DoorKing, etc.) directly — those are your contracts. Open-Space reads your gate's API at no extra charge. There is no per-event fee, no gate add-on, and no mark-up. If your gate doesn't have an API, use Manual mode to manage codes on your end.

Quick answers for the most common tasks
Getting started
1. Add your units
Go to Unit map and click + Add unit. Give it an ID (like A-01), a type, size, and monthly rate. That’s it — no required format. Add as many as you have.
2. Set your intake mode
Go to Settings → New renter intake. Choose Reserve online (renter pays a hold deposit and signs the lease instantly, no phone call) or Request (you review every application first). Most storage operators use Reserve.
3. Connect Stripe
Go to Settings and connect your Stripe account. Renter payments go directly into your account — Open-Space Management never touches the money. Takes about 5 minutes on stripe.com.
4. Share your listing link
Each available unit has a public listing link. Click any available unit on the map and copy the link. Share it on Facebook, your website, or wherever you advertise — renters can reserve or apply directly from it.
Common tasks
Add a renter manually
Go to Renters → + Add renter. Fill in their info, pick a unit, and a lease gets sent automatically.
Charge for a lock, damage, or anything extra
Go to Billing → + Custom charge. Pick the renter, type what it’s for, enter the amount, and hit send. Goes on their account immediately.
Process a move-out
Go to Move-out and follow the 7-step checklist — inspection, balance confirmation, gate deactivation, deposit refund, unit release, waitlist notification. Each step is guided.
Handle a non-paying renter
The platform handles the escalation automatically: late fee on day 10, reminder on day 3, gate suspended day 10, firm notice day 7. At day 30 you’ll get an alert to send the pre-lien notice. Go to Billing to view the timeline and generate notices.
Enable outdoor storage or warehouse bays
Go to Settings → Space add-ons and toggle on Outdoor storage yard or Pole barn & warehouse bays. They appear on your unit map immediately. Then use + Add space to put your real spaces in.
Add someone to the waitlist
Go to Waitlist in the sidebar. Add their name and contact info, and what size unit they need. When a matching unit opens, they get a text automatically.
Billing questions
What does Open-Space Management cost?
Simple $19/mo · Plus $29/mo · Pro $39/mo per facility (founding clients pay 25% less for 2 years). First 100 spaces free every month, then $0.25/mo per additional active space. Card payments 3% + $1. ACH 1.8% + $1. Cash and check always free.
Who gets the renter’s payment?
You do, directly. Renter payments go straight into your connected Stripe account. Open-Space Management never holds the money — we just collect our platform fee automatically as part of the transaction.
Should I pass processing fees to renters?
Up to you. Go to Settings → Billing and choose your pass-through setting. Most operators absorb card fees but pass ACH fees. Cash and check are always free either way.
